Did the .pst file shut down incorrectly?

 

 

Sometimes when you start Outlook you receive these error messages:

  • Outlook cannot open the data file filename until it has been checked for problems
  • Microsoft Office Outlook’ exited without properly closing your Outlook data file ‘drive:\Users\username\AppData\Local\Microsoft\Outlook\outlook.ost’.‘Microsoft Office Outlook’ must be restarted. If this error message recurs, contact support for ‘Microsoft Office Outlook’ for assistance
  • The data file< filename> was not closed properly’. This file is being checked for problems
  • Reason behind occurrence of these error messages is improper shutdown of the PST file. You may face this issue till the time Microsoft completes the reconciliation process.

    An incorrectly shut down .ost file or .pst file may occur for one of the following reasons:

  • Antivirus scanning of the file
  • Forced Microsoft Windows shutdown before the Outlook.exe process shuts down completely
  • Outlook add-ins
  • If you see this issue frequently, and you have to exit Outlook shortly before you shutdown your computer, it may be better to shut down Windows while Outlook is still running. We recommend that you do this instead of exiting Outlook and then shutting down Windows shortly after that.

Your PST files could become corrupted after an upgrade, so back up the files prior to upgrading. Another option is to rename the PST files to something other than Filename.pst, and then rename them back to their original names after the upgrade. Doing this prevents future corruption.

    2. Using Inbox Repair tool – One can use Inbox Repair Tool for fixing the corrupted PST files. It’s an inbuilt tool that comes with MS Outlook email suite. Its filename is Scanpst.exe.     PST Corruption while Microsoft Outlook Personal Folders Backup Process Interruption

     

     

    Taking backup of Microsoft Outlook Personal Folders refers to a very simple process but in some cases, interruption in this process can prove dangerous for the PST file. The PST file may get corrupt due to the interruption in backup process and you may need to restore the PST file from another backup.

    It is always suggested that you should not restart the Outlook while backing up the PST file, as this causes interruption in backup process. When backup process gets interrupted, following error message appears:

    “Cannot copy : There has been a sharing violation. The source or destination file may be in use.”

    Solution:

    The best way to prevent such errors is to avoid restarting Outlook before the backup process gets completed. Since, during backup process Outlook does not start and you may keep on trying to open it. This action can prove fatal for your PST file, as it may also corrupt the backup copy.

  • Open Task Manager to determine the process status in Task List.
  • The Microsoft Outlook Personal Folders Backup process is named as ‘Backappl’.
  • If you see this item listed, close the Task Manager and try restarting Outlook later.

    MailTo link starts Lotus Notes instead of Outlook

When any user clicks Mailto link, email client that is set as default gets started. So if Lotus Notes is getting started on clicking Mailto link, do not get bothered just confirm following:

  • Check if the Program options are set correctly in Microsoft Internet Explorer to start Outlook.
  • The Mailto protocol is set correctly to start Outlook.
  • The Notes.ini file is set correctly to start Outlook.
  • If above mentioned settings and options are not set correctly, then set them by following below mentioned steps:

    Steps to set Microsoft Internet Explorer Options:

  • In Microsoft Internet Explorer, on the View menu, click Internet Options.
  • On the Programs tab in the Messaging section, click to select Microsoft Outlook as the default mail program, and then click OK.
  • Steps to set the Mailto Protocol

  • Double-click the My Computer icon.
  • On the Tools menu, click Folder options.
  • On the File Types tab click to select, URL:MailTo Protocol from the Registered File Types, click Advanced, and then click Edit.
  • Verify that the “Application used to perform action” reads “:\ \Outlook.exe” -c IPM.Note /m “%1″. For example:
  • “C:\Program Files\Microsoft Office\OFFICE\OUTLOOK.EXE” -c IPM.Note /m “%1″
    The path may vary slightly depending on version of Outlook. For example, the following path may appear in Outlook 2003:
    C:\Program Files\Microsoft Office\OFFICE11\OUTLOOK.EXE” -c IPM.Note /m “%1″

  • Click OK, Close, and close.
  • Steps to set the Notes.ini File Entry:

  • Click the Start, point to Find, and then click Files or Folders.
  • In the Named box, type Notes.ini, and then click Find Now.
  • Double-click to open the Notes.ini file in the Search Results window.
  • Type the following line after the [Notes] header:
  • NotDefaultMailTo=1

  • Close and save the Notes.ini file.
